BackUp Solutions is partnered with Iron Mountain and we follow rigorous standards to keep this data safe, including security best practices and Iron Mountain-developed practices. The bottom line: BackUp Solutions and Iron Mountain takes data protection seriously, and we go to great lengths to protect customer data from all credible threats. What is the BackUp Solutions Online Backup Service?- - The BackUp Solutions Online Backup Service is a client-server system for file backup from personal computers and file servers, over any TCP/IP network, to ultra-secure off-site facilities. The BackUp Solutions online backup solution is available internationally.

Security Objectives
- BackUp Solutions Online Backup provides a level of security for the customer's data that is better than alternative practices for handling computer data. The following sections show how BackUp Solutions and Iron Mountain creates a secure environment for data transfer, data storage, and account management. Our security objectives have four aspects:
» Data Transfer Security: Prevents access to customer's data during transfer for backup or retrieval.
» Storage Security: Prevents unauthorized access to backed up data stored on the server.
» Management Security: Prevents unauthorized access while providing client account management.
» Facility Security: Iron Mountain's physical security practices and facility hardening. - Data Transfer Security
- The Agent is an application that manages all backup, retrieval, and heal activities at the client level. For example, the Agent scans the PC's disk, and determines what data to send to the Data Center servers at Iron Mountain’s off-site, highly available, mirrored facilities.
- - The Agent always initiates contact with the Data Center.
- - SSL encryption (TLS 1.0) protects all customer information during transmission between Agent and Data Center.
- - The Data Center server authenticates the Agent connection using the user encryption key, while the Agent authenticates the server using a digital certificate embedded in the Agent installation package.
- - After authentication, the Agent encrypts every file flagged for backup with 128-bit Advanced Encryption Standard (AES) and sends the encrypted data to the Data Center. If enterprises use third-party encryption products, such as Microsoft’s Encrypting File System (EFS), to encrypt files on PCs, the Agent backs up the encrypted files.
- - The Agent requires a valid password when a user tries to retrieve files. This can prevent unauthorized individuals with physical access to another person's client from performing retrieves.
- - Changing the account status can temporarily or permanently prevent an Agent from backing up or retrieving files from stolen or unused clients. For example, when an employee leaves the organization, canceling their account prevents unauthorized individuals from accessing files that the former employee backed up.
- Storage Security
- Iron Mountain stores all backup data in secure, off-site facilities. Storage security features include:
- - The Data Center stores the 128-bit AES-encrypted files without decrypting them.
- - Every account has a unique encryption key, used to encrypt and decrypt each file that the Agent backs up. Only the Agent that encrypted the file can decrypt it. The Agent uses 112-bit Triple DES encryption to send the encryption key to the Data Center securely. The Data Center escrows the encryption key on its secure server.
- - Since facility servers do not provide a view to customer data, in the highly unlikely event that an individual were able to gain access to data files on the server, that individual would not be able to view the data.
- Management Security
- Support Center technicians possess credentials, consisting of a valid Technician ID and an associated password. Technician accounts can have varying levels of access to Support Center's features, based on the permissions granted to the technician ID. For example, a given technician might have access only to specific communities.
- - Access to Data Center areas is restricted to facility administrators only.
- - Only Iron Mountain employees and signed-in escorted guests can gain access to the Iron Mountain facilities.
- - All Iron Mountain employees receive a picture ID/card-key for entry to the facility. Iron Mountain employees must display these Iron Mountain badges at all times. Card key use logs are reported and reviewed regularly.

Protecting Open Databases
- Active databases and open files are typically your most important data. Therefore, it is critical that you employ a data protection solution that natively supports backing up these mission-critical files. Backup solutions that require complex plug-ins or costly third party tools to protect open databases and files, such as Open File Manager (OFM) or Open Transaction Manager (OTM), are vulnerable to serious compatibility and operational problems between the backup solution, the database and the database plug-ins. Such backup solutions are not always compatible with latest release of OFM/OTM. In addition, upgrading a database can cause serious compatibility operational problems between the backup solution, the database and the database plug-ins. Unfortunately, most of today’s backup solutions require these third party tools to back up open databases and files.
OPEN DATABASE PROTECTION WITH LIVEVAULT- - BackUp Solutions’ LiveVault, an automated server backup and recovery solution, removes risk and complexity through built-in support for backing up open files and databases. LiveVault continuously protects open and changing databases such as Microsoft Exchange Server, Microsoft SQL Server, Oracle and Lotus Notes without the need for complex plug-ins or costly third party tools. 2. A software Agent that utilizes Microsoft’s Filter Driver APIs to interact directly with file system-level functions to efficiently record changes to files as they occur. - JOB PHASES
- - Individual backup processes are referred to as jobs that transition between two phases: initial backup and continuous or scheduled backup.
Initial Backup
The first time a server is configured for backup, an initial LiveVault backup occurs. A copy of each file and directory selected to be backed up is efficiently and securely sent to the vault, creating a baseline image of the files and file structure. The initial backup runs until completion. If the initial backup is interrupted (due to server or network outages) the backup will resume automatically from where it left off (under normal circumstances).When the first copy of all data selected for backup has been replicated to the vault, restore jobs can be successfully run to recover data.
Continuous or Scheduled Backups
After the initial backup of a file, LiveVault only needs to transfer the changed deltas within the file. Similarly, after the initial synchronization, LiveVault always performs delta backups and never needs to perform another synchronization under normal circumstances. This enables LiveVault to efficiently back up data 24x7, typically sending changes to data on 15 minute intervals while minimizing network bandwidth usage. - REPLICATION TECHNOLOGIES
- - Point-in-Time Versions via Snapshots
Snapshots are a file system function. They provide an isolated, virtual file system for specific applications (such as backup) to access files as they exist at a moment in time, without having to compete with other applications using those files.
During backup jobs — typically at 15 minute intervals — LiveVault instantiates snapshots. LiveVault uses snapshot technology for two primary reasons:
• Snapshots give the LiveVault Agent full access to a server’s file system without the need for open file managers and without risk of impacting files currently in use.
• Snapshots lock the entire file system at a point in time. This allows for transactional integrity of restored databases.
In practice, when the LiveVault Agent requests a snapshot, an empty snapshot file is created. After this, if an application modifies a file, a “pre-image” of the blocks of the file being modified are moved to the snapshot file. When LiveVault then asks for this file, the snapshotter sends LiveVault’s request for this data to the snapshot file. Once the backup job is complete, LiveVault deletes the snapshot file. - - Efficient Delta Backups via File System Filter
The Microsoft Filter Driver framework is a well-defined set of programming interfaces developed by Microsoft to allow third party services to interact with actions occurring within the file system.
LiveVault uses a file system filter to monitor the changes that occur between snapshots. This way, LiveVault is able to efficiently capture and send just the changed deltas after a snapshot is instantiated. The filter removes the need for LiveVault to scan the file system for each backup job to determine the changes to the file system. This significantly improves the performance of backup jobs (which typically finish in seconds to minutes).
Not all Microsoft OS versions include the filter driver framework. When the framework is not present, the scanning process is longer, depending on the number of files and the amount of data in the file system. The LiveVault Agent software scans the file system to identify files and blocks that have changed. For very efficient delta backups using the LiveVault filter you should be running:
• Windows 2000 with SP4 Update Rollup 1
• Windows 2003 SP1
• Windows 2008 - - Putting It All Together
By using snapshots and filter drivers, LiveVault is able to natively protect open files while ensuring the transactional integrity of databases. This is accomplished with a minimum of resource consumption.
Through the use of these technologies, LiveVault addresses two very important obstacles in backing up open and changing files:
1. Files open for exclusive read
2. Actively changing files - - Backing Up Open and Changing Files
Snapshots, by definition, provide complete read access to all files on a system, with no ability to modify them. They are then available to applications using the snapshots.
With the filter driver monitoring file system activities, the LiveVault Agent is able to:
• View files as they are opened.
• Log the location of changes occurring in the files as commands are executed on open files. Changes and their locations are tracked — no data is cached during this process, only records of the changes and their locations. - DATABASE TRANSACTIONAL INTEGRITY
- In a 24x7 production environment, many database or application files are always open and actively changing. If the server suffers a power failure and is restarted, one of the functions of the database software is to bring the database into a transactionally consistent state as part of its startup activity by “rolling out” any incomplete transactions. To do this, many databases keep transaction log files as well as the main database files. All modern databases such as SQL, Exchange, Oracle, Sybase and Lotus Notes maintain transactional consistency in their databases.
Backup products typically require either that the database be brought into a quiet state or shut down before backup to ensure that the collection of database files (log files, database files, etc.) is in a consistent state.
In contrast, LiveVault backup does not require that the database be shut down nor does it necessitate any pre- or post-processing or the purchase of database plug-ins. Through its snapshot technology, LiveVault can guarantee that all the database files are “captured” at a specific instant in time which reflects the ondisk state of all those files at that instant. If the collection of database files is later restored, when the database starts up it will detect files in a state that could have resulted from a power failure or other interruption and, if necessary, will make the database transactionally consistent as part of its startup. - - Handling Log Files
With traditional backup, the normal scheme is to retain a database’s transaction log files until after a known good backup has occurred. Often the backup software plug-in must reset the log files or command the database software to do so. Regardless of the method, the size of the log files must be contained so that these files don’t eventually fill up the disk.
As it is unnecessary for LiveVault to interact with database software, the following methods are typically used in conjunction with LiveVault to control log file growth, depending on the database:
• SQL — the database consistency checker (DBCC) should be used on a regular basis.
• Exchange — circular logging should be used.
• Oracle (which always uses circular logging) — a simple script or procedure should be used periodically if ARCHIVELOG mode is on to clean the archived redo log files. - - Using Native Database Backup Features with LiveVault
Many database packages provide features for handling or assisting with backup. These features can be used in parallel with LiveVault if so desired. A few typical examples are mentioned below:
• SQL provides an SQL Backup capability to make dumps of the database and/or transaction logs into a separate backup directory. LiveVault's continuous off-site protection often makes the use of SQL backups unnecessary, as many of our customers choose to recover to a 15 minute point-in-time in the recent past.
• Others choose to continue to make SQL Backups a few times a day as extra protection. Oracle offers a logical backup facility as well as the RMAN utility. Oracle also provides ARCHIVELOG mode to enable recovery from online backups. As discussed above, LiveVault performs online backups in a unique way. With LiveVault, the main database files are backed up as they change as well as the collection of online redo log files that change. It is unnecessary for customers to backup the archived log files, although they may do so if desired. - CONCLUSION
- - Open databases and files are the most difficult to protect — yet they are typically your company’s most valuable data assets. - Security for Data in Transit
- - The LiveVault Service assures that the connection between application servers and Iron Mountain's secure off-site Data Bunkers is secure. The LiveVault Service uses the best electronic security methods, including:
• Automatic, outbound-only connections: There is no added security risk to your environment. In particular, there are no inbound connections. The LiveVault Agent on your server communicates only with the LiveVault backend infrastructure. The LiveVault Agent initiates all connections from your server (outbound connections) over two ports reserved for the LiveVault Service, or over port 443 (the SSL port) if those ports are not available. Normally, there is no need to alter the firewall security perimeter. This makes installation particularly simple and secure.
• Public key encryption for mutual authentication: There is no possibility of spoofing. The LiveVault backend infrastructure and the Agent independently validate certificates each time a connection is made. This authenticates the Agent to the electronic vault, and the vault to the Agent.
• 256-bit Advanced Encryption Standard (AES) encryption of all data before transmission and storage: There is no possibility of eavesdropping on data transfer between the Agent and the electronic vault, and no possibility of Iron Mountain seeing your data on the vaults. 256-bit Advanced Encryption Standard is the level of encryption that banks and government agencies employ.
• Customers control encryption passwords. Customers may keep their encryption passwords private, so there is no possibility of any BackUp Solutions employee accessing customer data. Iron Mountain also offers a free, optional encryption password escrow service that enables customers to recover data even if the encryption passwords are not available.
• Customers can change encryption passwords: Whenever there is a potential security breach, such as when a trusted individual leaves a customer’s company, the customer can simply change the data encryption passwords, which is similar to changing the door locks. Older backed-up data can still be restored, but only with the new password.
• Protecting encryption keys and passwords: All data is encrypted (256-bit AES) at the source, using a unique encryption key. To guard against forgetting or losing encryption keys, The LiveVault Service offers a password-protected, user-changeable, human-friendly encryption key built on top of the machine-readable encryption key. As additional protection, there is the free option to escrow the key at Iron Mountain. A customer can change the password that accesses encrypted data, so that all data is only available with the new password (and not available with the old password).
• Digital signatures: There is no possibility of corruption or modification of data. All communication between the LiveVault Agent and vault uses industry-standard SSL (Secure Sockets Layer). This prevents any accidental or malicious modification, and protects the integrity and confidentiality of all data. - Security for the LiveVault Web User Interface
- - The LiveVault Web user interface is convenient for customers to use because only a Web browser is needed for access. Security features of the Web user interface include:
• Encrypted communication: Secure Sockets Layer (SSL) encryption protects the LiveVault Web user interface.
• Data protection: The contents of backed-up files are not accessible.
• Privacy protection: Because data encryption passwords are not set or accessed with the Web user interface, even if someone steals a user's login and password, they cannot restore data, except to the machine where it originated.
• Strict password rules are available: A company can set password specifications for their account, such as minimum password length, reuse policy, expiration period, and requirement for non-alphabetic characters.
• Limits on insider attacks: Customers can grant users only the rights and privileges necessary for their specific job duties. For example, a help desk person might have the ability to initiate restores, but not to set or change backup policies or add other users. Similarly, an IT administrator might have some (or limited) responsibilities for servers and users where they work, but not be able to see or manipulate servers or user accounts at other locations. - Physical Security for Data Stored in Electronic Vaults
- - Iron Mountain owns and operates off-site Data Bunkers that provide high-security environmentally-controlled storage for a variety of media. These Data Bunkers include data centers with redundant infrastructure. For example, the security features of one of two Data Bunkers used for the LiveVault Service include:
• A 145-acre site, 200 feet underground.
• Five-ton steel gates with 7x24 armed security.
• OSHA-certified fire brigade and EPA-certified water treatment plant.
• Redundant generators for full backup power for up to 7 days. Entrance to an Iron Mountain underground facility.

The data centers within the Data Bunkers have achieved SysTrust® certification, which satisfies the specific Trust Services Principles and Criteria of the American Institute of Certified Public Accountants (AICPA) and the Canadian Institute of Chartered Accountants (CICA). SysTrust examination assures that a system is reliable when measured against four essential principles: availability, security, integrity, and maintainability. - LiveVault Vaults
- - LiveVault data is stored in electronic vaults in each data center. When customers sign up for the LiveVault Service, their data is mirrored between vaults at each site for high availability. Iron Mountain constantly monitors the Data Bunkers, data centers, and vaults. In the unlikely possibility of a failure, backups are rerouted and continue automatically to the remaining vault. When the failure is repaired, all missing backup data replicates to the repaired or replaced vault. All other elements of the backend infrastructure, such as the Web servers, the backend database, and the command and control systems, are also redundant.

- Q: Is this the same LiveVault service as provide by Iron Mountain to Enterprise class customers?
- A: Yes. BackUp Solutions is an Iron Mountain MSP partner and has been selling and supporting their products for over 10 years. While Iron Mountain typically serves large, enterprise customers, BackUp Solutions is focused on providing the same technologies to small and medium size businesses.
- Q: Why is the pricing less through BackUp Solutions?
- A: With a long history of providing online backup services and a large customer base, BackUp Solutions is able to make a substantial commitment to Iron Mountain for services. This allows us to obtain bulk rates which we in turn pass on to our customers. By combining the needs of many customers, we in turn can provide a significant savings to all.
- Q: Are there any differences in features or functionality if I purchase through BackUp Solutions?
- A: None. Our LiveVault customer's receive all the same features and functionality including 24/7 monitoring of backups, mirrored Iron Mountain data centers, continuous backup, etc.
- Q: Do my backups go to Iron Mountain data centers?
- A: Yes. Our customers' backups go to the same Iron Mountain data centers which are the most secure facilities available to the public.
- Q: How do I get support for LiveVault?
- A: BackUp Solutions will provide you with first level support and typically we can quickly solve issues that are handeled by level 2 Iron Mountain personel. If any issues come up that we are unable to resolve we will open a ticket with Iron Mountain to get our customers a prompt resolution. After hours emergency assistance can also be received directly through Iron Mountain.
